LINEN RENTAL POLICIES

We are Bolivar Coastal Laundry & Linens LLC, doing business as Bolivar Coastal Laundry & Linens ("Company," "we," "us," "our"), a company registered in Texas, United States at 1940 Hwy 87, Crystal Beach, TX 77650.

We operate the website https://www.laundryandlinens.com (the "Site"), as well as any other related products and services that refer or link to these legal terms (the "Legal Terms") (collectively, the "Services").

Bolivar Coastal Laundry & Linens offers laundering and linen rental services to short-term rental guests and property owners.

These Linen Rental Policies, including Terms & Conditions, constitute a legally binding agreement made between you, whether personally or on behalf of an entity ("you"), and Bolivar Coastal Laundry & Linens LLC, concerning your access to and use of the Services. Bolivar Coastal Laundry & Linens LLC reserves the right to update and modify the Legal Terms at our sole discretion at any time. You agree that by accessing the Services, you have read, understood, and agreed to be bound by all of the Legal Terms contained herein.

PRODUCT AVAILABILITY

  • To ensure product availability we strongly recommend submitting linen rental orders at least 14 days prior to scheduled check-in.

  • All orders are subject to product availability.

  • Product style, color, and/or pattern may be subject to change without prior notice.

  • Bolivar Coastal Laundry & Linens does its best to ensure product description accuracy. We are not responsible for errors in product descriptions.

  • Bed linens are provided in the following sizes: King, Queen/Full, and Twin.

ORDERS

  • Order confirmation is sent via email or posted to your customer page on the Site. You are responsible for checking your order confirmation for accuracy. Be sure to verify the delivery address, delivery date, and order contents are accurate. Please notify us immediately of any discrepancies.

  • When placing orders, please be sure to include a unit number (if applicable) and any door, gate, alarm, elevator or other code(s) necessary for access.

  • If we are unable to deliver an order due to an error or omission in the information you provided, or because we are unable to access the property, there will be a $35 re-delivery fee required to re-deliver.

  • Orders placed less than 24 hours from scheduled check-in are subject to a $25 rush order fee. Orders placed after guest check-in are subject to a $35 rush order fee.

  • Unused linens are not eligible for a refund.

RENTAL PERIOD

  • Linen rental period begins at 7:00pm on the day before scheduled check-in and ends at 7:00pm on the originally scheduled date of checkout.

  • Linen rentals are provided for the originally specified rental period only, up to 15 nights, under the standard rental rates. Rental periods for a single reservation that exceed 15 nights, or rental periods that are modified after delivery to extend beyond the originally scheduled checkout date will be charged a daily rental fee for each additional day.

DELIVERY/PICK-UPS

  • All deliveries are made between 2:00pm and 7:00pm on the day before scheduled check-in to the main door of the rental location.

  • We are unable to schedule or guarantee a specific delivery time.

  • You do not need to be present at the time of delivery or pick-up.

  • Rental orders may be delivered inside the main door of the rental location upon your request at no additional cost. For interior delivery, you must provide a working key or access code to the main door of the rental location at least 24 hours prior to scheduled check-in. In the event that we are unable to gain access at the time of delivery, exterior delivery will be made instead.

  • We do our best to have all deliveries completed by 7:00pm, however, factors such as traffic, weather, local events, and/or order volume may create delivery delays. We appreciate your patience and understanding.

  • Occasionally, we deliver rental orders up to 3 days prior to scheduled check-in date after verifying no scheduled conflicts in your booking management software. Rental fees and rental period/duration are not impacted by early delivery.

  • Return rental linens do not need to be laundered prior to pick-up.

  • All rental linens must be placed inside the return bags provided at delivery. Mesh bags are provided for return of towels and wet items. Teal bags are provided for return of dry, used/dirty bed linens. Navy bags are provided for return of dry, unused towels and bed linens.

  • Please do not include any non-rental items in return bags. If any non-rental items are found during return processing, they are bagged, labeled, and stored at our office for 45 days. You may collect non-rental items by coming into our office during regular business hours. After 45 days, unclaimed non-rental items are donated.

  • Bagged return linens should be placed near the main door of the rental location no later than 9:00am on the day after checkout. If return linens will not be ready for pick-up by 9:00am on the day after checkout, please contact us to make alternate pick-up arrangements. If we are unable to retrieve rented linens at the scheduled pick-up time and no alternate arrangements have been made, you may be subject to a return trip fee of $35 plus rental fees for the additional day(s), or the full replacement cost of linens.

LINEN STAGING

  • Linen staging service may be provided upon your request, where feasible, time permitting, and subject to availability.

  • For liability and safety reasons, linen staging is not offered when you or your registered guests are inside the rental location.

  • You must provide a working key or access code to at least one door of the rental location at least 24 hours prior to scheduled check-in in order to receive linen staging services. In the event that we are unable to gain access for linen staging, we will notify you by 8:00am on the scheduled check-in day, and you will not be charged for linen staging. A $15 no-access fee will be assessed.

  • Towels, hand towels, and washcloths are dispersed evenly across all full bathrooms and placed inside bathroom cabinets or drawers, where available, avoiding cabinets directly under bathroom sinks. When no bathroom cabinets or drawers are available, towels, hand towels, and washcloths are placed in the bedroom closest to the respective bathroom.

  • All standard beds are made with rental bed linens. Bed covers, pillows, and blankets are not provided by us, but any that you provide are arranged decoratively over rental bed linens. Bed linen bundles are placed on top of or in close proximity to non-standard beds (temporary, non-fixed, or top bunks).

  • If fewer bed linens are rented than standard beds at the rental location, please provide instructions for which beds you would like made at least 24 hours prior to scheduled check-in. In the absence of rental bed linens for any standard bed(s) and instructions for which beds are to be made, we will use our best judgement to determine which beds to make.

  • Beds will not be made when dirty bed covers, pillows, blankets, or mattress covers are present. Bed linen bundles are placed in close proximity to beds with unclean bedding materials and you will be notified.

DELIVERY CONDITION

  • You are responsible for inspecting all items in your rental order without delay. Any items that are missing, stained, torn, ripped, frayed or otherwise damaged upon delivery must be reported by 9:00am on the day following scheduled check-in. We will replace any item(s) reported within that window. No refunds or credits will be issued for missing or damaged items.

  • Upon inspection of any reported item(s) and review of delivery documentation, any replacement item(s) dispatched in error (delivered but reported missing, or damaged after delivery) will incur a return trip fee of $35 plus rental fees for the replacement item(s) and damage/loss charges, if applicable.

  • From the time of delivery until the time of pick-up, you are solely responsible for all damages and/or theft of each item you have rented, regardless of the cause or circumstances. Please contact us for a full replacement cost quote if necessary for your insurance provider.

  • A report of missing and/or damaged rental items will emailed to you at the conclusion of your rental period (for single orders) or once per week (for multiple orders) containing details of rental location, scheduled pick-up date, and, in the case of damaged items, links to photos of damage. Damaged rental items are bagged, labeled, and stored at our office for 45 days. You may collect damaged items by coming into our office during regular business hours. After 45 days, unclaimed damaged items will be donated or destroyed at our discretion.

REPEAT/STANDING ORDERS

  • You may, at your discretion, provide us with a list of rental locations and the standard linen rental order for each location, along with a list of future rental order dates. You are responsible for ensuring the accuracy of, and regularly updating the information provided to us in the standing order list for each rental location, as well as the information provided to us in the future rental order dates list.

  • Default standing orders containing the following quantities of rental items, as determined by the sleeping capacity, bed sizes, and full bathroom count of each rental location: one appropriately sized bed linen set per bed listed, bath towels at a count nearest 1.5 times the sleeping capacity of all beds listed, hand towels at 2 times the number of full bathrooms listed, washcloths at 6 times the number of full bathrooms listed, two kitchen towels, one dishcloth, and one set of guest consumables (4 rolls of toilet paper, 1 roll of paper towels, 2 tall trash bags, 1 outdoor trash bag, 1 bottle of dish soap, 3 dishwasher pods, and 4 laundry pods)

  • If provided access to your booking management software, we will pull a report of all future bookings once daily as a courtesy update to your future rental order dates list, subject to uninterrupted login access. You are still responsible for ensuring the accuracy and completeness of orders shown on your customer page on the Site.

CANCELATIONS

  • All cancelations must be received in writing.

  • You will not be charged for orders canceled at least 3 days prior to scheduled check-in date. A 10% cancelation fee will apply to orders canceled 48-72 hours prior to scheduled check-in. Orders canceled 24-48 hours prior to scheduled check-in are subject to a 25% cancelation fee. Rental charges are due in full starting 24 hours prior to scheduled check-in, after which, no refund or credit will be issued for early departure or cancelation.

  • Cancelations due to inclement weather or voluntary evacuations are subject to the timeframes and cancelation fees stated above.

  • A 50% credit of linen rental charges will be issued for cancelations 0-24 hours prior to scheduled check-in when a mandatory evacuation order has been issued for Galveston County.

PAYMENTS

  • Bolivar Coastal Laundry & Linens gladly accepts all major credit & debit cards (Visa, MasterCard, Discover, American Express) as well as ACH payments.

  • A card processing fee of 4% is added to each credit or debit card transaction.

  • All service charges will be invoiced once per week. Payment is due upon receipt with a grace period of seven (7) days.

  • Overdue balances are subject to a 1.75% late fee per month. Initial late fees are posted to accounts at the expiration of the grace period, then every thirty (30) days thereafter.

  • Accounts with more than five (5) cancellations in a single week within the past twelve (12) months or with more than two (2) late payments within the past twelve (12) months may be required to submit a deposit in the amount of one-and-a-half (1.5) times their average invoice total prior to submission of new rental or service orders.

  • Bolivar Coastal Laundry & Linens takes great pride in providing exceptional quality vacation home linens along with outstanding customer service.

TERMS & CONDITIONS

  • These Legal Terms form the sole agreement between the Lessee (or "Customer") and Bolivar Coastal Laundry & Linens, LLC (the "Company" or "Lessor").

  • Lessor hereby leases to the Lessee, and Lessee hereby leases from the Lessor tangible property (the "Equipment"), including Bed Linens, Bath Towels, Hand Towels, Bath Rugs, Washcloths, Kitchen Towels, Pillowcases, Mattress Covers, Beach Towels, Consumables Bins and any other tangible property the Lessor may lease from time to time.

  • The Lessee acknowledges that he/she will personally inspect the Equipment, find them suitable for his/her needs and in good condition, also he/she understands the proper use and agrees to inspect the Equipment prior to use and notify Lessor of any defects or incorrect Equipment within 24 hours of receipt of the Equipment.

  • All Equipment is used at Lessee's risk.

  • Lessor does not guarantee or accept responsibility for any Equipment that does not fit properly. It is up to the Lessee to verify that such Equipment is suitable for Lessee’s needs prior to delivery.

  • The Lessee assumes all responsibility for Equipment while in Lessee's possession.

  • Use of Equipment in the following circumstances is prohibited and constitutes a breach of contract: (a) Improper, and unintended use or misuse. (b) Use by anyone other than Lessee or Lessee’s registered guests. (c) Use at any location other than the address furnished by the Lessee.

  • The Lessee shall be liable for any loss, theft, damage or destruction of Equipment.

  • The Lessee understands that there exist certain risks of injury from the use or misuse of such items, including the potential risk of serious injury, disability or death from the use of such items.

  • The Lessee agrees to indemnify and hold Lessor and its officers, employees, shareholders and agents harmless for any claims from the use or misuse of Equipment by Lessee, Lessee’s registered guests, or any third parties for loss, injury and damage to persons or property arising out of the user’s negligence or operation, including any legal costs incurred in the defense of such claims.

  • Lessee agrees to pay Lessor for any lost or stolen Equipment delivered in fulfillment of Lessee’s Equipment order and not returned by Lessee at the conclusion of the rental period.

  • Lessee agrees to pay Lessor for any Equipment delivered in fulfillment of Lessee’s Equipment order and returned by Lessee in a condition further deteriorated than normal wear-and-tear at the conclusion of the rental period.

  • Replacement costs for lost, stolen, and/or damaged Equipment will be charged to the Lessee at the current retail price determined by Lessor. Monies paid by Lessee to Lessor for Equipment rental fees or other services shall not be applied to replacement costs owed by Lessee for lost, stolen, and/or damaged Equipment.

  • Lessee agrees that no refunds will be given for delayed deliveries.

  • Lessee acknowledges they have read, understand, and accept Lessor's Cancelation Policy as stated above.

  • LESSOR DISCLAIMS ALL WARRANTIES IN CONNECTION WITH THE EQUIPMENT, EXPRESS OR IMPLIED, AS TO ANY MATTER WHATSOEVER, INCLUDING WITHOUT LIMITATION DESCRIPTION, QUALITY, DESIGN, PERFORMANCE, SPECIFICATIONS, CONDITION, MERCHANTABILITY, AND FITNESS FOR ANY PARTICULAR PURPOSE, EXCEPT AS EXPRESSLY SET FORTH IN THIS CONTRACT. Lessor further disclaims any liability for loss, damage, or injury to Lessee or third parties as a result of any defects, latent or otherwise, in the equipment whether arising from Lessor’s negligence or application of the laws of strict liability. The Equipment covered this contract have been leased by Lessee AS IS and WITH ALL FAULTS, and Lessee acknowledges that no warranties of merchantability or fitness for any particular purpose are to be implied in this transaction. If the Equipment becomes unsafe or in disrepair during the term of this Lease, Lessee agrees to discontinue use and to notify Lessor immediately. Lessor will then attempt to replace the Equipment with similar Equipment within a reasonable time, if similar Equipment is available at the time Lessor receives notice of said condition.

  • The Equipment is, and at all times shall remain, the sole and exclusive property of Lessor; and the Lessee shall have no right, title, or interest therein or thereto except as set forth in this Lease. Lessee has no right to purchase or otherwise acquire title to or ownership of any of the Equipment or property of this Lease no matter that the Equipment or any part thereof may now be, or hereafter become, attached or affixed to real property or any improvements thereon.

  • By making payment for any and all rental charges Lessee agrees, acknowledges, and accepts Lessor's policies and these Legal Terms.
